PAYMENTS - FEES AND MEMBERSHIP
Pointers will ensure a welcome letter is emailed to explain our payment structure and membership fees, prior to joining the club. By accepting a place, new members are accepting the rules regarding fees and membership.
If you do not receive this email, soon after your trial, please contact us.
- All fees are due by the 1st of each month via direct debit. PreSchool class fees are termly and are due prior to the term starting.
- Any payment not received by this date can incur a late fee
- All fees are non refundable
- The cancellation period for all classes is 2 weeks (14 days) before the following payment date. Any cancellations after this time means the full months payment for the following month will be due.
- If a class is cancelled by the venue, and a catch up session cannot be made, fees will be credited to the following month.
- All participants must be members of IGA (Independent Gymnastics Association). New members must join IGA within two weeks of them enrolling. Membership is renewed by the end of September each year.

PARENTS AND GUARDIANS RESPONSIBILITY
- Excluding Pre-School classes, Parents/Guardians are only allowed to stay for their Childs first session. Every week from then on, parents and guardians are asked to remain outside the building.
- For certain occasions, parents/guardians who stay while their child’s trampoline class is running should help ‘spot’ around the trampolines. They should encourage their children to stand around the trampolines and help with ‘spotting’ too. They must NOT allow sitting on end decks or frame pads, and must prevent their children from running around, going underneath a trampoline when it is in use, and from jumping from one trampoline to another.
- For certain occasions, parents/guardians who stay while their child’s gymnastics class is running should help encourage their children to stand and wait for their turn. They must NOT allow sitting/hanging/jumping on equipment, and must prevent their children from running around, going on equipment when it is in use, and getting in someone else’s way.
- It is the policy of Pointers that ALL participants arrive suitably attired for the activity. Black shorts/ leggings/joggers and a club t-shirt, or a leotard, is suitable attire. Gymnastics is done in bare feet, but socks are required for the trampolines. Please ensure children’s hair is pulled back tidily out of faces, and all jewellery removed. Participants will receive a club t-shirt once they have enrolled for their class (this will be received during their session).
- No eating or drinking around the trampolines or on the gym floor. Only bottles with screw caps may be brought into the hall. No cans, or food.
- Parents/Guardians must ensure their child has been to the toilet prior to the class starting.
- Parents/Guardians must ensure coaches are aware of any needs their child may have, which could affect their participation in the class.
- Parents/Guardians should encourage good standards of behaviour.
- Parents/Guardians should not force their children to take part against their will.
- Parents/Guardians should never punish or belittle a child for poor performance.
- Parents/Guardians should support their children’s evolvement of the activity and help them to enjoy it.
- Parents/Guardians should never use threatening or abusive language or behaviour towards any participant or coach.
- Parents/Guardians should ensure children arrive promptly for their class. Any child arriving 10 minutes late for their Gymnastics or Funfit class will not be allowed to join in due to missing the warm up and stretch, this being the most important part of the session.
- Parents/Guardians must ensure they arrive promptly to pick up their child. Every 15 minutes late from the end of the session will incur a £5 charge.
- Parents/Guardians must come and pick up their child from the pick up point. If a child has been given permission to meet at the carpark, or make their own way home, Pointers must have this in writing.
- Parents/Guardians must ensure their contact details and any medical information is updated on their account.
- Fees must be paid in full by the 1st of each month. Late payments will incur a late payment charge. Bill payers should make sure their card details are up to date to ensure the direct debit can be paid.
- All parents/guardians must refrain from consuming alcohol or recreational drugs or smoking whilst on the premises or representing the organisation.
- Parents/Guardians must not allow children to join in with classes if they have suffered sickness or diarrhoea within the last 48 hours, or have any symptoms of Covid-19..
- If your child(ren) has a verruca, we ask you ensure it is covered. A sock with a gripped sole is fine.
PARTICIPANTS RESPONSIBILITY
- It is policy all participants should wear club clothing; no belts, buckles, metal badges or other items that could cause injury. No jewellery. Black shorts/leggings/joggers and a club t-shirt are suitable attire. Leotards are recommended.
- When waiting their turn on the trampoline, all children should spot around the trampolines. No running around is be permitted. Children must not sit on end decks or frame pads and must never go underneath a trampoline when it is in use, or jump from one trampoline to another.
- Participants should follow stations and plans provided by coaches, in order and safely.
- No eating or drinking around the trampolines or on the gym floor. Only plastic bottles with screw caps may be brought into the hall. No cans, bottles or food.
- Children should not leave the hall while their class is running except to go to the toilet. Two children at a time may leave the hall for this purpose. In centres which are open to the public, children less than 8 years old must be accompanied to the toilet by an adult. Permission should be obtained from the coach.
- No front landings, back landings or other rotational moves to be performed during a participant’s first warm-up turn on the trampoline – even if they are an experienced trampolinist.
- No skills that require going upside down must be performed without the coaches permission to avoid injury to themselves or others.
- Participant must not go on any equipment without the coaches permission, to avoid injury to themselves or others.
- Participants should join in and complete all warm ups and stretches, to avoid any injury during the class, and to be allowed to continue with their class safely. Children will not be allowed to continue with their session if this has not been completed.
- All participants must respect rules.
- All participants must respect the rights, dignity and worth of all other participants.
- All participants must refrain from consuming alcohol or recreational drugs or smoking whilst on the premises or representing the organisation.
- At Pointers we have a zero tolerance to bullying. All participants must respect the coaches and fellow participants. Use of threatening or abusive language or behaviour towards any participant or coach will not be tolerated, and children may be asked to leave.
- Arrival after 10 minutes from the class start time will result refusal into the class.
- Participants should ensure they have been to the toilet before the class starts.
- Children should not leave the hall while their class is running except to go to the toilet. Two children at a time may leave the hall for this purpose. Children less than 8 years old must be accompanied to the toilet by an adult. Permission must be obtained from the coach.
- Children will not be allowed to leave without a parent/guardian seen to pick them up, unless written permission from their parent/guardian has been received.
- They must remain in the hall until a known adult has arrived.
- Children are not allowed to attend classes if they have suffered from sickness or diarrhoea within the last 48 hours, or has any symptoms of Covid-19.
- If a participant has any troubles in their class, they are encouraged to speak to their coach, or ask a parent/guardian to pass on their concerns via email.
EMERGENCY AND FIRST AID PROCEDURES
1. General Instructions
Members should not park in areas that may restrict the access of emergency vehicles. Warlingham School has a specific ambulance bay by the school reception, near the archway. These areas should be kept clear at all times.
It is the responsibility of the coaches to check the equipment for safety before each session.
It is the responsibility of the coaches to ensure fire exits are clear at all times.
2. Emergency Evacuation of the Premises
In case of fire, an alarm system will ring to alert all individuals and an instruction given to leave the building by the nearest available Exit in a calm and orderly manner to a designated assembly point. Warlingham Schools assembly points is in the carpark. Head coaches will assume immediate responsibility and call the fire brigade if required.
If it is safe to do so, an attempt to extinguish the source of the fire can be made using an appropriate fire extinguisher, e.g. by ensuring that a safe passage to an exit point is available and that there is a low risk of suffocation.
The head coach should, if safe to do so, check that the premises have been evacuated, close doors and proceed to the assembly point to take charge and to liaise with the fire brigade on their arrival.
Upon exiting the club in an emergency situation, appropriate action, assistance and care should be forthcoming from adult members to ensure the safe exit of junior members and any members that suffer from disabilities. However, members should not put themselves or anybody else in danger to provide assistance.
3. Calling the Emergency Services
If the fire brigade or an ambulance is required a 999 emergency call should be made by a responsible person.
In emergencies a mobile phone should be used provided that there is a strong reliable signal, and staff should be informed that an emergency call has been made.
If an ambulance has been called, a responsible person, but not the first aider (who should remain with the casualty), should direct the ambulance to the casualty as it arrives in the car park.
4. First Aid
A qualified First Aider should always be on hand.
First Aid kits are sited in the following locations:
- Warlingham School: Box in store cupboard in gym.
- Kenley Memorial Hall: Stored in the cleaning box by the stage.
Location of accident report books and forms:
- Warlingham School: Box in store cupboard in gym.
- Kenley Memorial Hall: In the first aid box, in the cleaning box by the stage.
Location of nearest defibrillator:
- Warlingham School: In the school reception
- Kenley Memorial Hall: Attached the the front of the building.
Should there be an incident, a responsible person shall be dispatched to the nearest available First Aider who will attend to the casualty. If this is sufficient, the First Aider will remain with the casualty until the risk is reduced or, if the casualty is a minor, or until they are relieved by a parent/ guardian.
If necessary the First Aider will request that an ambulance is called following the procedure in Section 3 above, but in the event of a suspected life threatening condition, e.g. prolonged unconsciousness, loss of breathing, suspected heart failure or excessive loss of blood, an ambulance should be called immediately by anyone, at the same time as a First Aider is being located.
An Injury Report should be completed as soon as possible after the incident by the person dealing with the injury. See above for procedures for compiling injury reports. Parents/Guardians should sign the incident report if they agree coaches administered appropriate medical attention where necessary.
The owner / manager of the club will be the custodian of records of injury for the club.
Within 24 hours of the injury occurring, a member of the club management or the Coach of the injured person should contact the parents/guardians to enquire about the welfare of the injured person and to find out about any follow up to the injury, e.g. after being seen at a hospital Accident and Emergency Department or by a Doctor.
5. Basic Guidelines for Dealing with an Injury / Incident
The following basic instructions should be observed when handling an incident:
- Stay calm but act swiftly and observe the situation. Is there danger of further injuries?
- Listen to what the injured person is saying.
- Alert the first aider who should take appropriate action for minor injuries.
- In the event of an injury requiring specialist treatment, call the emergency services.
- Deal with the rest of the group and ensure that they are adequately supervised.
- Do not move someone with major injuries. Wait for the emergency medics.
- Contact the injured person’s parent/guardian.
- Complete an incident/accident report form.
- Current First Aiders [as of 10th December 2023] are Sefra, Carolle and Sophie.
CHILD SAFEGUARDING POLICY STATEMENT
Pointers is committed to ensuring that all members who take part in their activities have a safe and positive experience. They are committed to developing and implementing policies and procedures which ensure that everyone knows and accepts their responsibility in relation to a duty of care for young people. Pointers recognises that it is not the responsibility of those individuals working within the organisation to determine if abuse has taken place, but it is their responsibility to act upon and report any concerns.
If any person within Pointers has a doubt to this policy’s relevance to their role and duties, then please contact either Shelly Nash (shellynashwelfareofficer@pointersclub.co.uk) or Shelley Wells (shelleywellswelfareofficer@pointersclub.co.uk), the Welfare Officers for Pointers Gymnastics and Trampoline Club.
Pointers will abide by the following principles and statements:
- All young people and vulnerable adults regardless of age, gender, race, religion, sexual orientation, ability or disability, have the right to be protected.
- All people participating in physical activities have a right to do so in a safe environment.
- Adults working at Pointers will provide a safe, positive and fun sporting experience for all young people and adult care users.
- Adults – volunteers, coaches and officials will understand and be supported in their role and responsibility, with regard to the Duty of Care for young people.
- All suspicions and allegations will be taken seriously, managed and dealt with swiftly and appropriately.
- It is the responsibility of the child protection experts to determine whether or not abuse has taken place, but it is the responsibility of all those working within Pointers to report any concerns.
- The management committee of Pointers will assist coaches, volunteers and officials to remain up-to-date with the latest Child Protection issues.
- Pointers will appoint a Child Welfare Officer whose role is to be responsible for issues concerning child welfare.
- Pointers will carry out regular risk assessments to ensure the safety of all members.
EQUALITY POLICY STATEMENT
Pointers is committed to ensuring that equity is incorporated across all aspects of its member clubs' activities and development. In doing so it acknowledges and adopts the following Sport England definition of sports equity:
- Sports equity is about fairness in sport, equality of access, recognising inequalities and taking steps to address them. It is about changing the culture and structure of sport to ensure it becomes equally accessible to everyone in society.
- The club respects the rights, dignity and worth of every person and will treat everyone equally within the context of their sport, regardless of age, ability, gender, race, ethnicity, religious belief, sexuality or social/economic status.
- The club is committed to everyone having the right to enjoy their sport in an environment free from threat of intimidation, harassment and abuse.
- All club members have a responsibility to oppose discriminatory behaviour and promote equality of opportunity.
- The club will deal with any incidence of discriminatory behaviour seriously, according to club disciplinary procedures.
MISSING CLASSES
- Pointers appreciate some sessions may be missed due to holidays or sickness. We offer Catch Up sessions for any classes that have been missed.
- Catch up sessions can ONLY be used during holiday periods when classes are likely to be quiet.
- Catch up sessions MUST be booked first.
- Coaches have the right to refuse entry if a participant is not noted on the register.
- Pointers has the right to refuse a Catch-up session if spaces in the class chosen to catch up in, is full.
We offer several options for handling longer periods in August only:
- Arrange catch-up classes to fit around periods where normal classes may be missed (standard payment fee)
- Pay 50% for August to keep your child's place within their class (catch-up sessions excluded)
- Leave the classes and rejoin the waiting list(s) in September (spaces cannot be guaranteed due to others on the waiting lists)
